Moving from a trial order to a repeat sea-freight order changes the task from product evaluation to load control. For the repeat shipment, preserve what was physically shipped and how it was assembled, then flag corrections before booking.
Fix the carton as the calculation unit
Start with the accepted trial carton, not an estimated container total. Use this order: 1. identify the retail or food-service pack; 2. count packs in the carton; 3. capture the closed carton's external dimensions, net weight and gross weight; 4. record the closure, label position and orientation. This creates the unit from which pallet and container calculations are made.
The WEIDONGJIA roasted sushi nori range includes standard packs of 50 sheets / 140 g and 100 sheets / 280 g. The carton record should carry these fields:
- Purchase order and item code
- Grade, pack format and packs per carton
- Carton dimensions, net weight and gross weight
- Carton mark, artwork version, lot reference and destination
Choose palletized or floor-loaded planning
Palletized loading gives the receiving warehouse a discrete handling unit; floor-loaded cartons avoid the pallet footprint but require carton-by-carton unloading. The choice changes the written calculation basis. For a palletized plan, enter pallet dimensions, pallet tare, cartons per layer, layer count, total cartons and finished load height. For a floor-loaded plan, enter carton orientation, row pattern, row count and reserved clearance.
Keep theoretical fit and accepted loading quantity in separate fields. Theoretical fit is a planning calculation; accepted quantity is the number released after transport weight and space limits have been checked. If the distinction disappears, the visible symptom is a booking total that cannot be reconciled with the packing list.
Release repeat loads through written checks
Before each repeat load, run a three-stage release. First, match the packing record to the agreed carton fields. Second, inspect assembled cartons or pallets for shifted stacks, crushed edges, bulging panels, torn closures and labels hidden by the stacking pattern. Third, reconcile carton count, pallet count where applicable, net weight, gross weight and container reference across the loading sheet, packing list and shipment instruction.
The change log should state the previous value, revised value, reason, date and responsible party. A repeat order should not silently inherit a trial assumption: a different carton mark, pack count or loading pattern changes the logistics baseline. This written gate also makes discrepancies visible before documents are issued.
